How to Create Email Autoresponders

Set up automatic out-of-office or custom email replies in cPanel

Email autoresponders automatically send a reply to anyone who emails you. They're perfect for out-of-office messages, holiday notifications, or acknowledging receipt of customer enquiries.

Accessing Autoresponders

  1. Log in to your cPanel account (see our guide on how to login to cPanel)

  2. Scroll down to the Email section

  3. Click on Autoresponders

Creating an Autoresponder

  1. Click the Add Autoresponder button

  2. Configure the following settings:

    • Character Set: Leave as UTF-8 (recommended)

    • Interval: How many hours to wait before sending another autoresponse to the same person (default: 24 hours)

    • Email: Select the email address for this autoresponder

    • From: The name that will appear as the sender

    • Subject: The subject line of the automatic reply (e.g., "Out of Office" or "Thank you for contacting us")

    • Body: The message content of your automatic reply

  3. Set the start and stop times:

    • Start: When the autoresponder should begin (use "immediately" for current time)

    • Stop: When the autoresponder should end (use "never" for indefinite)

  4. Click Create/Modify to activate the autoresponder

Out of Office

Subject: Out of Office - Will respond upon return

Body:

Thank you for your email. I am currently out of the office from [start date] to [end date] with limited access to email.

I will respond to your message as soon as possible upon my return.

For urgent matters, please contact [alternative contact] at [email/phone].

[Your Name]

Customer Enquiry Acknowledgement

Subject: We've received your enquiry

Body:

Thank you for contacting AISweb. We have received your message and will respond within 24 hours.

Managing Autoresponders

To edit or delete an autoresponder:

  1. Go to Autoresponders in cPanel

  2. Find the autoresponder you want to modify

  3. Click Edit to modify settings, or Delete to remove it

Best Practices

  • Set an appropriate interval: 24 hours prevents the same person from receiving multiple identical replies

  • Always set a stop time: Don't forget to disable your out-of-office when you return

  • Keep it brief: Autoresponders should be concise and informative

  • Provide alternatives: Include alternative contact details for urgent matters

  • Avoid using autoresponders on mailing lists: This can create email loops and annoy list members

Troubleshooting

If your autoresponder isn't working:

  • Check the start and stop times are configured correctly

  • Verify the email address is correct

  • Ensure the interval hasn't prevented a response (wait 24 hours and try again)

  • Check that emails are actually reaching your account
